2. THE "CASTING" BOOKING MODEL

2.1 When you submit a booking request and pay a reservation fee via this website, you acknowledge that this constitutes an application for participation, not a confirmed travel contract.

2.2 The Right to Curate To ensure the safety, harmony, and educational value of our Dannelsesrejser (Formative Journeys), Chapters Institute reserves the strict right to assess all applicants. We may decline your participation if our assessment determines that your profile does not align with the specific group dynamic, the nature of the destination, or the stated purpose of the Chapter.

2.3 Rejection & Refunds

  • If we decline your application: You will be notified within 7 business days, and your deposit will be refunded in full immediately.

  • If you are accepted: Your reservation fee becomes non-refundable according to our standard Cancellation Policy (Section 5). It will be deducted from the full price of your Chapter.

3. PARTICIPANT CODE OF CONDUCT

By applying for a Chapter, you agree to adhere to our core operational principles. Failure to comply during the journey may result in exclusion from group activities without refund.

3.1 The "Global Mindset" Language Policy To prevent exclusion and monocultural "bubbles," English is the mandatory working language of all Chapters. Participants are expected to speak English during all group activities and communal meals, regardless of their nationality or the number of shared native speakers present. 

3.2 Engagement & Respect Participants are expected to engage with local communities as "guests," not "owners." Disrespectful behavior towards local hosts, refusal to adapt to local customs (e.g., dining etiquette), or treating local partners as exhibits ("human zoo" behavior) is a violation of the Chapter ethos.

4. NATURE OF THE EXPERIENCE

4.1 Not a Standard Holiday Chapters Institute provides personal development and cultural immersion experiences. You acknowledge that:

  • Accommodations and transport may be simple, rugged, or authentic to the local standard rather than Western luxury standards. This is to get accustomed to a local way of living of.  

  • Itineraries are subject to change based on local conditions and opportunities for deeper interaction.

4.2 Health & Fitness You warrant that you are physically and mentally capable of participating in the journey as described. It is your responsibility to disclose any medical or psychological conditions during the application process that may affect the group dynamic or your safety.

5. CANCELLATION & PAYMENT

5.1 Payment Schedule and cancellation: See our Terms of Service

5.2 Cancellation by Chapters Institute We reserve the right to cancel a Chapter due to insufficient enrollment (the "Group Dynamic" threshold) or force majeure. In such cases, you will be offered a transfer to another Chapter or a full refund.

6. TRAVEL DOCUMENTS & ENTRY REQUIREMENTS

6.1 Participant Responsibility It is your sole responsibility to possess valid travel documentation required for the destination(s) of the Chapter. This includes, but is not limited to:

  • A valid passport (typically with at least 6 months validity remaining beyond the travel dates).

  • Entry visas, transit visas, or electronic travel authorizations (e.g., ESTA, e-Visa).

  • Required health documentation (e.g., vaccination certificates).

6.2 No Liability for Participant Negligence Chapters Institute assumes no liability for consequences, financial losses, or denied entry arising from your failure to obtain proper documentation or your own negligence (e.g., incorrect visa dates, damaged passports, or failure to apply in time).If you are unable to join or must leave a Chapter due to missing 

or incorrect documentation, this will be treated as a cancellation by the participant with no right to a refund.

 


 

8. LIMITATION OF LIABILITY

8.1 General Waiver Chapters Institute facilitates travel experiences but does not own or operate the third-party entities providing specific services (e.g., local transport, accommodation, or activities). To the fullest extent permitted by applicable law, Chapters Institute shall not be liable for any injury, loss, damage, accident, delay, or irregularity arising from the acts or omissions of any third-party providers or from the participant's own conduct.

8.2 Gross Negligence Exception Chapters Institute’s liability is strictly limited. We are not liable for any damages or losses unless such damages are the direct result of proven gross negligence (grov uagtsomhed) or willful misconduct on the part of Chapters Institute or its direct employees.

9. INTELLECTUAL PROPERTY

The content on this site, including the brand name "Chapters Institute," the concept of "Chapters" for travel, and all text/visuals, is the intellectual property of Chapters Institute. Unauthorized use, reproduction, or copying of our business model or content is prohibited.

10. GOVERNING LAW & JURISDICTION

These terms shall be governed by and construed in accordance with the laws of Denmark. Any disputes arising out of or in connection with these terms shall be subject to the exclusive jurisdiction of the City Court of Copenhagen (Københavns Byret).
